Achieving a Common Control Framework of Data Security & Data Privacy

Abstract:

Organizations are managing a daunting task to safeguard access to their PeopleSoft application and data from internal and remote users, which can include thousands of third-party service providers combined with a constant flow of requests for changes to existing levels of access from that massive user community. On top of that challenge, they must manage potential security breaches from hackers attempting to gain unauthorized access to systems and data. Additionally, they must maintain effective data privacy controls for various regulatory compliance obligations. Together this creates an atmosphere of constant battling to maintain effective data security and data privacy controls to mitigate the organization’s risk exposure.

Some people mistakenly think data security and data privacy are the same things, but different terms. During this session, we will properly define the two terms, discuss challenges that organizations are facing to maintain effective data security and data privacy, discuss some of the leading practices to maintain effective data security and data privacy, which will include how to achieve a common control framework. Finally, we will discuss the Appsian Security Platform’s ability to enables the use of a zero-trust, always verify, security model, enabling SSO and MFA integration with your PeopleSoft application and add another layer of security by leveraging combinations of contextual attributes to maintain effective data security and privacy control (e.g., IP address, time of day, location, whether the device meets your security policy requirements, max dollar amounts, etc.) before establishing trust and granting access to transactions and data.

Your security teams can leverage the Appsian Security Platform’s dynamic zero-trust security model to:

Achieving the Zero Trust Security Model for PeopleSoft

In their latest report, “A Practical Guide to Zero Trust Implementation,” Forrester recommends the Zero Trust security model (aka. “never trust, always verify”) to provide an extra layer of security beyond the traditional perimeter-based security. Due to increasing digital transformation and the COVID-19 pandemic, Zero Trust is rapidly becoming the security model of choice for many organizations. However, implementing effective Zero Trust can be challenging for organizations.

Progress in Action: How SPPS Used Their 9.2 Upgrade to Modernize Their PS Footprint

Elire and Saint Paul Public Schools (SPPS) are underway with the upgrade from SPPS’s current 9.1 FSCM/HCM Systems to PeopleSoft 9.2 FSCM (PUM 39) and PeopleSoft 9.2 HCM (PUM 37). This project’s goal is for Saint Paul Public Schools and Elire to implement best practices solutions by reviewing business process decisions, removing outdated system modifications, and leveraging new and improved functionality. SPPS and the Elire Upgrade were also chosen to participate in an exclusive pilot group that is allowed to implement PeopleTools 8.59. As a part of this pilot, SPPS and Elire are working closely with Oracle to roll out the latest and greatest upgrade tools. This will allow the project team to maximize features and tools used to support SPPS.

This case study will focus on SPPS’s upgrade considerations, new feature and enhancement selections, process improvement initiatives, and PeopleTools 8.59 consideration.

Modernizing Workplace Injury Reporting

Abstract:

The Health and Safety Injury submission process involves multiple stakeholders who are situated in different locations due to the nature of a retail business. The current process involves a paper-based process initiated at the incident location and then completed through e-mail workflow and additions to the digitized paper documents before being e-mailed to the governmental OHS organization who then uses OCR technology to transfer it back to an electronic format. This process is time-consuming with e-mail-based workflow, leading to delays in injured workers receiving compensation in some cases.

The new process developed within PeopleSoft has the following objectives:
– Elimination of Digitized paper forms and e-mail workflow
– Bring the entry of the injury information to the source, i.e., to the Manager/Supervisor in a user friendly, easily trained format

State of Montana’s Fluid Timesheet Implementation

Abstract:

State of Montana implemented the Fluid timesheet in November 2019. The reasons we chose to move to fluid timesheet from classic were:
– Allow employees access to enter and approve time from mobile devices.
– Provide a better user experience.
– Stay current with fluid pages and functionality to retain support from Oracle.

Challenges:
– Manager Self Service fluid timesheet does not allow managers to approval through mobile device for the fluid timesheet. Therefore, we also set up the Approvals Tile to accommodate this need.
– Fluid Time Tiles: We reviewed the intent of each tile and relabeled and/or removed some tiles to avoid duplication and assist with change management.
– Security: Fluid pages are more complex to set up security. We have many custom roles. This required considerable amount of time to review existing security for classic pages and transition to the fluid pages.
– Employee Record not displayed on timesheet. We added a customization to display the employee record on the timesheet for our employees that work in more than one job/record. Delivered functionality only displays the employee’s job title.
– Total hours on the fluid timesheet are displayed quite differently than classic. For example: Total per time reporting code is no longer available. This was a challenge for employees and HR/Payroll staff.
– Work schedule display on the fluid timesheet. This can be removed as a configuration option but we decided to implement schedules and workgroups to display the comparison of daily hours reported against the hours the employee is scheduled to work.

Work From Home… The New Tax Compliance Nightmare

In the past 10 years, working from home has become more and more common. When employees only worked in a few specific locations, it was easy to setup those locations in PeopleSoft with its core features (including its tax requirements) and maintain that location for all the employee’s that worked there. But in the new remote working world (especially with COVID), employees are now working most of their hours from home, which may be in other states and with new tax localities. State tax revenue offices have become more aware of this trend and have been more aggressive about getting those employees or employers to pony up any work location taxes in addition to any resident taxes the employee should be paying. But this can be a maintenance and compliance nightmare for a payroll and tax department. Especially for states like Pennsylvania which have work tax codes in the thousands. Ensuring that the correct codes are assigned to an employee’s work and resident location(s) is challenging.

Danger Will Robinson! Using Alert Framework to Notify Employees & Managers

At RECONNECT Envision, we looked at how to implement and use HR Notifications to send targeted employees an email, notifications, or announcement. While HR Notifications can target specific employees, it can’t send a detailed message, like “Your time on July 21 is in error because” or “You need to approve time for EE 12345.” But we can use another tool, Alert Framework, for the more detailed, targeted messages we need to send.

Revolutionizing HR Operations at Hartford HealthCare with PeopleSoft eForms

HHC’s diverse employee population includes multiple unions, positions, locations, and other employee attributes that make these processes uniquely complex. Using the GT eForms bolt-on for PeopleSoft, we implemented a single form that automates a wide range of job change actions (and dozens of different action/reason combinations), incorporating rule-based logic to manage the unique requirements of each employee type and change request: job codes, departments, locations, supervisors, pay, per diems, standard hours, and more. The results? Faster processing, fewer errors, a dramatically simplified user experience, and a 60% reduction in work effort. Achieving a Common Control Framework of Data Security & Data Privacy

Organizations are managing a daunting task to safeguard access to their PeopleSoft application and data from internal and remote users, which can include thousands of third-party service providers combined with a constant flow of requests for changes to existing levels of access from that massive user community. On top of that challenge, they must manage potential security breaches from hackers attempting to gain unauthorized access to systems and data. Additionally, they must maintain effective data privacy controls for various regulatory compliance obligations. Together this creates an atmosphere of constant battling to maintain effective data security and data privacy controls to mitigate the organization’s risk exposure.
Some people mistakenly think data security and data privacy are the same things, but different terms. During this session, we will properly define the two terms, discuss challenges that organizations are facing to maintain effective data security and data privacy, discuss some of the leading practices to maintain effective data security and data privacy, which will include how to achieve a common control framework. Finally, we will discuss the Appsian Security Platform’s ability to enables the use of a zero-trust, always verify, security model, enabling SSO and MFA integration with your PeopleSoft application and add another layer of security by leveraging combinations of contextual attributes to maintain effective data security and privacy control (e.g., IP address, time of day, location, whether the device meets your security policy requirements, max dollar amounts, etc.) before establishing trust and granting access to transactions and data.

This popular session has been updated to reflect recent enhancements to integrate PeopleSoft Expenses with Google Maps at Hackensack Meridian Health (HMH). HMH expanded its suite of integrated PeopleSoft products by implementing the PeopleSoft Expenses, replacing a legacy Expensibles product. Upon final rollout, up to 30,000 team members will be able to create pre-travel authorizations, enter expense reports, and submit/approve via mobile devices. HMH implemented native mobile functionality designed specifically for its expense capture and approval demands. Written in pure Fluid architecture, PeopleSoft allows easy configuration of mobile content, with an extensible framework to accommodate unique processes and configurations. Working tightly with systems integrator SpearMC, the solution implemented simplifies HMH expense reporting, helping team members stay on top of receipts and submit timely expense reports, while also helping accounting tighten its expense cycles.

Streamlining Contract Creation Process Using Component Interface

Progress in Action: How SPPS Used Their 9.2 Upgrade to Modernize Their PS Footprint

Elire and Saint Paul Public Schools (SPPS) are underway with the upgrade from SPPS’s current 9.1 FSCM/HCM Systems to PeopleSoft 9.2 FSCM (PUM 39) and PeopleSoft 9.2 HCM (PUM 37). This project’s goal is for Saint Paul Public Schools and Elire to implement best practices solutions by reviewing business process decisions, removing outdated system modifications, and leveraging new and improved functionality.
SPPS and the Elire Upgrade were also chosen to participate in an exclusive pilot group that is allowed to implement PeopleTools 8.59. As a part of this pilot, SPPS and Elire are working closely with Oracle to roll out the latest and greatest upgrade tools. This will allow the project team to maximize features and tools used to support SPPS.

This case study will focus on SPPS’s upgrade considerations, new feature and enhancement selections, process improvement initiatives, and PeopleTools 8.59 consideration.

Childrens Hospital Wisconsin: Lessons Learned 18 Months Since Going Live with PeopleSoft on OCI

Lessons Learned 24 months since going live with PeopleSoft on OCI. SpearMC is presenting on original goals, objectives met, shortfalls, and lessons learned. Children’s Hospital of Wisconsin’s (CHW) outdated PeopleSoft application posed significant risks and was requiring more and more budget to maintain. In November 2019, thanks to a quick, affordable lift-and-shift upgrade to PeopleSoft on Oracle Cloud Infrastructure (OCI), CHW saved time, lowered the total cost of ownership and reduced risk, all while transforming their IT organization from a cost center to a value provider.
•CHALLENGE PRESENTED: CHW’s aging infrastructure lacked a Disaster Recovery solution and was no longer actively supported with vendor upgrades, patches and technical support.

The results? Faster processing, fewer errors, a dramatically simplified user experience, and a 60% reduction in work effort. Organizations are managing a daunting task to safeguard access to their PeopleSoft application and data from internal and remote users, which can include thousands of third-party service providers combined with a constant flow of requests for changes to existing levels of access from that massive user community. On top of that challenge, they must manage potential security breaches from hackers attempting to gain unauthorized access to systems and data. Additionally, they must maintain effective data privacy controls for various regulatory compliance obligations. Together this creates an atmosphere of constant battling to maintain effective data security and data privacy controls to mitigate the organization’s risk exposure.
Some people mistakenly think data security and data privacy are the same things, but different terms. During this session, we will properly define the two terms, discuss challenges that organizations are facing to maintain effective data security and data privacy, discuss some of the leading practices to maintain effective data security and data privacy, which will include how to achieve a common control framework. PeopleSoft Accounts Receivable has extemded the collection process by providing for payment plans that allows customers’ customers to make outstanding payments in installments. With this capability, collectors can negotiate payment plans and speed up the collection process to align to corporate collection policies. Jefferson Health is working towards streamlining one of the most critical Accounts Payable Match Exception business processes.
In this presentation, we will share our journey and effort to optimize Match Exceptions. Some of the topics that will be covered but not limited to root causes of common exceptions, Hand-off workflow documents to show how each area is engaged in exception resolution, and some relevant areas. We will present how Jefferson has taken advantage of delivered Match Workbench to assign, track and report on Match Exception rules across our functional teams such as Purchasing, Strategic Sourcing, Receiving, and Accounts Payable.

We will demonstrate how we used Match Exception workbench in Accounts Payable WorkCentre to Assign Match Exception to the concerned functional team among the 4 teams. Assign Match Exception to the Business Users within the assigned team who will solely be responsible for working towards a resolution for the exception and thereby clear it from their Match Workbench assignment queue. Handshake Match Exception between the functional teams. If needed, business users can assign Match Exceptions to other teams for their assistance. Comments, Attachments can be shared with them too. Pivot Grids displaying the amount of Match Exception vouchers to each Team, Business Users.

Payment Request for Non-PO Invoices

Recently, Jefferson has implemented the delivered Payment Request feature to process Non-PO invoices. Payment Request has brought visibility, accountability, and transparency to this whole Non-PO invoicing process.
This presentation will share the configuration, productive enhancements, and HR Approval Integration. We were using the paper-based process starting from submission, Approval to the AP team keying in the vouchers manually. We had thousands of invoices per week/month. A huge pile of paper-based invoices for 18 hospitals. Now we are leveraging Payment Request AWE for approval, and not only that we are also using an integrated solution to pull HR supervisor for an employee. Our departments are super happy when they can track the full life cycle of their submissions. Approval is happening online and they can track their reimbursements from submission to payment. You can track comments/notes on the requests. Huge win since a lot of times these conversations were happening on paper or emails. We are working to further optimize our workflow to leverage HR to host the approval hierarchy by divisions.

With a population of over 1.2 million residents, Hennepin County recently undertook a project to use PeopleSoft-based eForms for county services. As COVID changed the way we operated our services, we needed to respond quickly to a new service delivery method. Rather than visiting DMV offices, sending in paperwork, or filling out PDFs online, residents can now safely and efficiently renew license tabs, request duplicate registrations and titles, and register automobiles, ATVs, boats, and snowmobiles through dynamic, interactive eForms…all without leaving their home or office!
Residents can create their own account via a public portal to conduct business with the County, and then access a menu of PeopleSoft-based GT eForms on a secure customer portal. The County also used PeopleSoft eBilling to accept payment for the services which allowed for easy payment application and bank reconciliation.

This popular session has been updated to reflect recent enhancements to integrate PeopleSoft Expenses with Google Maps at Hackensack Meridian Health (HMH). HMH expanded its suite of integrated PeopleSoft products by implementing the PeopleSoft Expenses, replacing a legacy Expensibles product. Upon final rollout, up to 30,000 team members will be able to create pre-travel authorizations, enter expense reports, and submit/approve via mobile devices. HMH implemented native mobile functionality designed specifically for its expense capture and approval demands. Written in pure Fluid architecture, PeopleSoft allows easy configuration of mobile content, with an extensible framework to accommodate unique processes and configurations. Working tightly with systems integrator SpearMC, the solution implemented simplifies HMH expense reporting, helping team members stay on top of receipts and submit timely expense reports, while also helping accounting tighten its expense cycles.

Progress in Action: How SPPS Used Their 9.2 Upgrade to Modernize Their PS Footprint

Elire and Saint Paul Public Schools (SPPS) are underway with the upgrade from SPPS’s current 9.1 FSCM/HCM Systems to PeopleSoft 9.2 FSCM (PUM 39) and PeopleSoft 9.2 HCM (PUM 37). This project’s goal is for Saint Paul Public Schools and Elire to implement best practices solutions by reviewing business process decisions, removing outdated system modifications, and leveraging new and improved functionality.
SPPS and the Elire Upgrade were also chosen to participate in an exclusive pilot group that is allowed to implement PeopleTools 8.59. As a part of this pilot, SPPS and Elire are working closely with Oracle to roll out the latest and greatest upgrade tools. This will allow the project team to maximize features and tools used to support SPPS.
This case study will focus on SPPS’s upgrade considerations, new feature and enhancement selections, process improvement initiatives, and PeopleTools 8.59 consideration.

Organizations are managing a daunting task to safeguard access to their PeopleSoft application and data from internal and remote users, which can include thousands of third-party service providers combined with a constant flow of requests for changes to existing levels of access from that massive user community. On top of that challenge, they must manage potential security breaches from hackers attempting to gain unauthorized access to systems and data. Additionally, they must maintain effective data privacy controls for various regulatory compliance obligations. Together this creates an atmosphere of constant battling to maintain effective data security and data privacy controls to mitigate the organization’s risk exposure.
Some people mistakenly think data security and data privacy are the same things, but different terms. During this session, we will properly define the two terms, discuss challenges that organizations are facing to maintain effective data security and data privacy, discuss some of the leading practices to maintain effective data security and data privacy, which will include how to achieve a common control framework.
